Registration for Alumni Reunions and Association Meets

Registration with guest counts, meal preferences and headcount reporting for alumni reunions, AGMs and association gatherings.

What makes alumni & association meets different

Families come along

Alumni bring spouses and children. The headcount that matters for catering is people, not members, and the difference is often double.

Catering has to be committed early

The venue wants numbers days in advance, so the expected headcount has to be visible and accurate as registrations come in, not totalled on a spreadsheet the night before.

Collecting dues and donations at the same time

Membership renewals and contributions frequently ride along with event registration.

How we handle it

  • Guest counts, with optional guest names, under a limit you set
  • Expected headcount updating live as registrations come in
  • Meal and kit tracking per attendee at the venue
  • Attendance recorded including guests, for the committee report

Common questions

Do I need ticketing software for alumni & association meets?

Usually not. These events are invitation or registration based rather than publicly ticketed, so what you need is a registration form, an entry pass per attendee and a way to check people in at the door. A ticketing marketplace takes a cut per ticket and is built for selling to strangers, which is a different problem.

Can attendees receive their pass on WhatsApp?

Yes. Attendees opt in on the registration form and receive their QR entry pass on WhatsApp as well as by email. Every send is recorded with its outcome, so you can see who received theirs and resend to anyone who did not — before the day, rather than at the door.

What does it cost?

Pricing is per event and scales with the number of registrations, so a small evening programme costs less than a multi-day festival. Badge printing, hardware and on-site staff are quoted separately because only some events need them.
