Three things, one team
Technology, print and manpower are usually three separate vendors. Running them together is what keeps a registration desk moving.
Registration Technology
Software, mobile app and POS hardware
- Web dashboard for registrations, check-in status and reporting
- Android app for on-ground scanning and check-in
- Mobile POS machines that scan a QR and print a badge on the spot
- Works on-site when venue connectivity is unreliable
- QR-based check-in with kit, lunch and dinner tracking
Badge & Print Production
PVC, NTR and paper badges, plus event print
- PVC badges for premium and multi-day conferences
- NTR (non-tearable) badges for durability through the event
- Paper badges for high-volume, single-day registration
- On-the-spot badge printing at the registration desk
- Banners, standees and other event print items
On-Site Manpower
Trained registration staff and promoters
- Registration desk staff, including company-wise counter setups
- Badge printer operators
- On-site technical support
- Event coordinators
- Promoters for activations and brand engagement
Choosing a badge stock
The right stock depends on how long the event runs and how much handling the badge has to survive.
PVC badges
Rigid plastic cards, the most durable option. Suited to multi-day conferences and delegates who keep the badge as a credential.
NTR badges
Non-tearable synthetic stock. Holds up to lanyards, weather and repeated handling without the cost of full PVC.
Paper badges
The most economical choice, printed on demand at the desk. Best for large single-day events and spot registrations.
Beyond badges
Branded lanyards, entrance and desk branding, banners, standees and other event print items — produced alongside your badges so the desk arrives as one consistent set-up rather than parts from different suppliers.

Hardware for the desk, rented by the day
You do not need to buy printers and scanners for one conference. Rent the desk hardware with the rest of the service and we set it up on site.

The questions we are asked most often when scoping a registration desk.
What is the difference between PVC, NTR and paper badges?+
PVC badges are rigid plastic cards and the most durable, suited to multi-day conferences. NTR badges use non-tearable synthetic stock that survives lanyards and handling at lower cost than PVC. Paper badges are the most economical and are printed on demand at the desk, which makes them best for large single-day events.
Can you print badges on the spot at the venue?+
Yes. Delegates are scanned or registered at the desk and their badge is printed immediately, either from a mobile POS printer or a desktop badge printer. This covers walk-ins and spot registrations without needing badges pre-printed for every possible attendee.
Do you supply lanyards, banners and standees as well?+
Yes. Branded lanyards, entrance and desk branding, banners, standees and other event print items are produced alongside the badges. Ordering them together means the registration area arrives as one consistent set-up rather than as parts from separate suppliers.
Can badges be personalised with company name and delegate category?+
Yes. Badge layouts are built from your registration form fields, so any captured detail — name, company, designation, delegate category — can appear on the badge. Different categories can use different layouts or colour coding to make them identifiable at a glance.
Do you provide staff for the registration desk?+
Yes. We provide registration desk staff, badge printer operators, on-site technical support and event coordinators, charged per role per day. Promoters are available separately for activations and brand engagement. Day rates for each role are shown in our pricing calculator.
How many registration staff does my event need?+
It depends on delegate numbers, how concentrated arrivals are, and how many counters you can fit. A single registration queue moves far slower than several parallel counters, so events with a tight arrival window need more desks and staff. Send us your expected numbers and arrival schedule and we will propose a counter and staffing plan.
Can registration counters be split by company or delegate category?+
Yes. Counters are commonly split alphabetically or company-wise with matching signage so delegates go straight to the right desk instead of one long queue. We have run company-wise counters organised alphabetically for corporate supplier conferences.
